Free Google Sheets dashboard template

Type your business numbers once a month: revenue, expenses, customers and orders. The dashboard picks out the month you choose and sets it against last month and your targets, with an On target or Behind status for every number. Profit, margin and average order are worked out for you, and a year-to-date tab adds up the year so far.

What's inside

  • A Monthly Data tab with one row per month for revenue, expenses, customers, new customers and orders
  • Profit, profit margin and average order value worked out from your numbers
  • A dashboard for any month you pick: this month, last month, the change and the % change
  • A monthly target for every number, with an On target or Behind status
  • Targets that know when lower is better, so spending under target counts as on target
  • A Year to Date tab with totals, monthly averages and your best and worst months
  • Works in Google Sheets and Excel

How to use it

  1. Download your copy

Click "Free download" to save the .xlsx file. It opens in Excel, or in Google Sheets: open a blank sheet (sheets.new) and choose File, then Import, then Upload.

  2. Clear the sample numbers

On Monthly Data, delete the sample shop's revenue, expenses, customers, new customers, orders and notes. Leave the Profit, Profit margin and Average order columns alone: they are formulas.

  3. Type in each month

At the end of each month, fill in its row. Pull revenue and expenses from your bookkeeping or bank, customers and orders from your shop, booking or sales system.

  4. Set your targets

On the Dashboard, type a monthly target for each number in the Monthly target column. Set Aim to Lower for numbers you want to keep down, like expenses.

  5. Pick the month to show

Type the first day of any month in the Month shown cell (for example 10/1/2026). The Last month column and every status follow it.

  6. Check the year so far

Year to Date totals each number, shows your monthly average and points out your highest and lowest months.

Tips

Pick five to eight numbers

A dashboard works when you can read it in a minute. Track the few numbers you would act on, and leave the rest in your bookkeeping.

Fill it in on the same day each month

Pick a day, like the third working day of the month, once the last month's sales and bills are in. Numbers typed at different times are hard to compare.

Compare with last year too

Many businesses are seasonal. Keep last year's copy and compare a month with the same month a year ago, not just the month before.

Add a chart in two clicks

Select the Month and Revenue columns on Monthly Data, then choose Insert, then Chart. Google Sheets and Excel draw a monthly trend that updates as you type.

Use the Notes column

Write down what happened each month: a sale, a price change, a slow week. When a number jumps, the note tells you why.

Questions

How do I make a dashboard in Google Sheets?

Keep your raw numbers on one tab, one row per month. Then build a second tab that looks up the month you want with VLOOKUP and works out the change and the target gap. This template has both tabs built for you.

What should a small business dashboard show?

Usually revenue, expenses, profit and margin, plus a few numbers about customers, like new customers, orders and average order value. Pick the ones you can change with what you do each month.

Can I change or add metrics?

Yes. Rename any column on Monthly Data and the matching row on the Dashboard. To add one, add a column on Monthly Data and copy a Dashboard row, then change the column number in its VLOOKUP.

How does the On target status work?

Each number is compared with its monthly target. If Aim is Higher, reaching the target or more is On target. If Aim is Lower, staying at or under the target is On target. Anything else shows Behind.

Can I use it for KPIs that aren't money?

Yes. Customers, orders and new customers are counts, and you can replace them with anything you count each month, like leads, bookings, website visits or jobs done.

Does it work in Excel?

Yes. Download the Excel file. The lookups, targets and year-to-date totals all work in Excel and Google Sheets.

Is this dashboard template free?

Yes. Download the .xlsx file and open it in Excel or Google Sheets with no sign-up.

Pro version

KPI Dashboard Pro

A monthly business dashboard built around the numbers you choose, with targets, a year-to-date view, trend charts and a one-page report.

Track your own numbers

Name up to 15 metrics on Setup: revenue, leads, jobs done, refunds, anything you count. Pick money, number or percent, and every tab shows it in the right format.

Targets that make sense

Give each metric a monthly target and say whether higher or lower is better. Type over any month for a seasonal target, like a busier December.

See where you stand in seconds

Pick a month and every metric gets an On target, Close or Behind status against its target and the year so far, with cards for your top six numbers.

The year so far, done right

Choose how each metric adds up for the year: totals for sales, averages for margins, the latest month for customer counts. Year to date follows the month you pick.

Charts for any metric

Trends charts any metric month by month against its target, with the year to date beside it and your notes for each month.

A report you can print

Report puts the month on one page: headline numbers, every result, what needs a look and your notes. Print it or save it as a PDF to share with a partner or your accountant.
