What's inside

  • One row per album with artist, title, year, genre, format, condition, shelf, price paid, value, rating and notes
  • Gain or loss on each item, worked out from what you paid and what it's worth now
  • A summary with total paid, total value, your most valuable item and how many items still need a value
  • Items, money paid and value by format (vinyl, CD, cassette, digital) and by genre
  • A decade breakdown with a simple bar so you can see which era your shelves lean to
  • Room for 80 albums, and it works in Google Sheets and Excel

How to use it

  1. Download your copy

Click "Free download" to save the .xlsx file. It opens in Excel, or in Google Sheets: open a blank sheet (sheets.new) and choose File, then Import, then Upload.

  2. Clear the samples

On the Collection tab, select the sample rows from Artist to Notes and press Delete. Decade and Gain or loss are formulas: deleting the typed cells leaves them in place, and they go blank.

  3. Add your albums

Type one album per row. Start with artist, title and format, then fill in year, genre and condition when you have the record in your hands.

  4. Note where it lives

Use Location for the shelf, crate, box or app, like Shelf A1 or CD tower. When you lend something out or rearrange, change it here and you'll always know where to look.

  5. Add prices and values

Type what you paid in Paid and today's going price in Value. Leave Value blank until you've looked it up; the Summary counts how many still need one.

  6. Check the summary tabs

Summary, By Format, By Genre and By Decade update as you type. Make sure the genre and format names on those tabs match the ones you use in the list.

Tips

Use standard grades for records

Collectors grade vinyl as M (mint), NM, VG+, VG, G+, G and P (poor). Grade the record and sleeve the same way each time so the values you look up compare fairly.

Look up values in batches

Prices change slowly, so you don't need to update every week. Once or twice a year, check recent sold prices for your top items on a marketplace like Discogs or eBay and update Value.

Sort to find things fast

Use Data, then Sort range on Artist for an A to Z list, or on Location to see what's on each shelf. Sort on Value, Z to A, to see your most valuable items first.

Keep a photo for insurance

For valuable items, take a photo of the cover and the label and note the catalogue number in Notes. Ask your insurer what they need if you want a collection covered.

Questions

What should a music collection spreadsheet include?

At least the artist, title and format. Most collectors add the year, genre, condition, where it's stored, what they paid and what it's worth. This template has all of those, plus a rating and notes.

Can I use it for vinyl records only?

Yes. Use it as a vinyl record spreadsheet and set Format to Vinyl LP or Vinyl 7in for each row. You can rename the formats on the By Format tab, for example to 12in single or Box set.

How do I find out what my records are worth?

Look at recent sold prices for the same pressing, not asking prices. Discogs and eBay sold listings are common places to check. The exact pressing and condition make a big difference.

Can I track songs instead of albums?

Yes. Put the song in Title and the album in Notes. For a large digital library, a music app's own export may be quicker; this sheet suits a collection you buy and keep.

How do I add more than 80 albums?

Insert rows above the last row of the list and copy the Decade and Gain or loss formulas down. Then stretch the ranges on the summary tabs to the new last row.

Does it work in Excel?

Yes. Download the .xlsx file and open it in Excel. All the formulas work the same way in Excel and Google Sheets.

Is this music spreadsheet template free?

Yes. Download the .xlsx file and open it in Excel or Google Sheets. No sign-up, no email.

Pro version

Music Collection Pro

Catalogue every record, CD, tape and download once, and see what it's worth, who has what on loan, what to buy next and what you actually play.

Your whole collection in one list

Vinyl, CDs, cassettes, box sets and digital on one Collection tab, with dropdowns for genre, format, shelf and grade so it stays tidy as it grows.

Know what it's worth

Total value, what you paid and the gain or loss on every album. A value check flags albums with no value yet, or a value older than you'd like.

Condition at a glance

Grade the record and the sleeve with the usual M, NM, VG+ scale. Colour chips show the worn ones, and Stats counts your collection by grade.

Never lose a record to a friend

Loans keeps who borrowed what and when it's due back. Overdue and Due soon show on the Loans tab, on the album's row and on the Dashboard.

A wishlist that tells you when to buy

Note the most you'd pay and the best price you've seen. Buy now lights up when a price hits your target, and it warns you if you already own it.

See what you really play

Log a play in two clicks. Plays and Last played fill in on each album, and the Dashboard shows your most played, spending by month and value by format.
