What's inside

  • Name, group, phone, email and full mailing address for every contact
  • Birthdays with the next date, days to go and the age they're turning
  • A holiday card list with a Name on envelope column, like The Kim family, and a tick for each card sent
  • A ready-to-copy mailing address on one line for envelopes and labels
  • A summary with birthdays in the next 30 days, cards left to send, contacts by group and birthdays by month
  • Works in Google Sheets and Excel, and you can share it with your household

How to use it

  1. Download your copy

Click "Free download" to save the .xlsx file. It opens in Excel, or in Google Sheets: open a blank sheet (sheets.new) and choose File, then Import, then Upload.

  2. Clear the samples

Delete the sample contacts but keep the formula columns: Next birthday, Days away, Turns and Mailing address fill in by themselves.

  3. Add your people

Type one person or household per row. Put ZIP codes in as text so leading zeros stay, and use the groups Family, Friends, Neighbors, Work and Services, or your own.

  4. Keep the date current

On the Summary tab, replace Today's date with =TODAY() so Days away always counts from today.

  5. Build your card list

Tick Holiday card for everyone you send to and fill in Name on envelope. As cards go out, tick Card sent. The Summary shows how many are left.

  6. Sort and filter

Click Data, then Create a filter. Sort by Days away to see the next birthdays, or filter Group to just Family.

Tips

Print envelope labels

Copy the Mailing address column into a label tool, or use a label add-on for Google Sheets, such as Avery Label Merge, with the Street, City, State and ZIP columns.

Get your phone contacts in

Export contacts from Google Contacts as a CSV, open it, and paste the columns you need into this sheet. It's quicker than typing them.

Reset the card ticks each year

After the holidays, select the Card sent column and untick it, so next year starts clean while your list stays.

Share it with the family

Click Share and add your partner as an editor. You'll both see new addresses as soon as one of you adds them.

Questions

How do I make an address book in Google Sheets?

Download this template, delete the sample rows and add your contacts, one per row. The birthday and mailing address columns work themselves out.

Can I print my address book?

Yes. Click File, then Print, choose Landscape and Fit to width. To print fewer columns, hide the ones you don't need first (right-click the column letter, then Hide column).

What if I don't know someone's birth year?

Type the birthday with any year. Next birthday and Days away still work, but ignore the Turns column for that person.

Why do ZIP codes lose their first zero?

Spreadsheets treat 02144 as a number and drop the zero. The ZIP column in this template is plain text. If a zero still disappears, type an apostrophe first, like '02144.

Can I use it as a contact spreadsheet for work?

Yes. Rename the groups to things like Clients and Suppliers. For tracking deals and follow-ups, a CRM template fits better.

Is this address book template free?

Yes. Download the .xlsx file and open it in Excel or Google Sheets. No sign-up.

Pro version

Address Book Pro

Every address, birthday and holiday card in one place, with labels and envelopes that print straight from the sheet.

Type each address once

Add a household once and pick it for everyone who lives there. Phone lists, labels, envelopes and the card list all use the same address, so one change updates them all.

Never miss a birthday

See the birthdays and anniversaries coming up in the next few weeks, how old someone is turning, and the big ones like 40, 50 or 25 years married.

A birthday calendar for the fridge

All twelve months on one printable page, with birthdays, ages and anniversaries in date order.

Holiday cards without the guesswork

Tick who you sent to and who sent you one. The card list shows who's left, who sent one you haven't answered, and what happened last year.

Print labels and envelopes

Labels print 30 to a page for your card list, everyone, or one group. Envelope prints one #10 envelope with your return address. No mail merge or add-ons.

Keep it current

Each address gets a 'checked on' date and a flag when it's time to confirm it again, so cards stop going to old addresses.
