Free bill tracker for Google Sheets

List every bill you pay once: rent, utilities, phone, insurance, loans and subscriptions, with the day it's due and the usual amount. Tick a box when you pay it. The sheet works out this month's due dates, flags anything due soon or overdue, and adds up what's paid and what's still to pay.

What's inside

  • One list of every recurring bill: due day, usual amount, category, autopay and which account pays it
  • This month's due date and days left for each bill, worked out from the due day
  • Paid, Due soon, Overdue and Coming up flags so you can see what needs attention today
  • A Paid Grid with a checkbox for every bill in every month of the year
  • Totals for the month and the year: paid, still to pay, and what your subscriptions cost
  • Works in Google Sheets and Excel

How to use it

  1. Download your copy

Click "Free download" to save the .xlsx file. It opens in Excel, or in Google Sheets: open a blank sheet (sheets.new) and choose File, then Import, then Upload.

  2. List your bills

On the Bills tab, replace the sample rows with your own bills. Type the day of the month each one is due (1 to 31) and the usual amount. Go through a couple of bank and card statements so nothing gets missed.

  3. Mark autopay and the account

Tick Autopay for bills that pay themselves, and note which account or card pays each one. Autopay bills still belong on the list: you want to know the money will be there.

  4. Set today's date

On the Summary tab, Today's date is fixed for the sample. Type =TODAY() there so due dates, days left and statuses always follow the real date.

  5. Tick bills as you pay them

On the Paid Grid, tick the box under the month when a bill is paid. Its status on the Bills tab changes to Paid straight away.

  6. Check in once a week

Look at the Status column on the Bills tab. Overdue means the due day has passed and this month's box isn't ticked. Due soon means it's due within the next 7 days.

Tips

Sort by due day

Keep the Bills tab in due day order (Data, then Sort range on the Due day column). Reading down the list then matches how the month goes.

Due on the 31st

A bill due on the 29th, 30th or 31st moves to the last day of shorter months, so February is handled for you.

Amounts that change

For electric, gas or a card balance, put a typical amount. It keeps the monthly total close, and you can note the real figure in Notes.

Look at the subscriptions line

The Summary tab adds up everything in the Subscriptions category, per month and per year. Seeing the yearly figure is often the push to cancel one or two.

Change what counts as soon

If you're paid every two weeks, set Due soon means within to 14 days so you see every bill that falls before the next paycheck.

Questions

How do I track bills in Google Sheets?

List each bill with its due day and amount, then keep a paid checkbox for each month. This template does that and adds this month's due date, days left and a status for every bill, so you only need to tick boxes as you pay.

What should a bill tracker include?

The bill, when it's due, the usual amount, whether it's on autopay, which account pays it, and a paid or unpaid mark for each month. Totals for paid and still to pay help you check there's enough in the account.

How does the sheet know a bill is overdue?

It takes this month's due date from the due day. If that date has passed and the box for this month on the Paid Grid isn't ticked, the bill shows Overdue.

Can I track bills that aren't monthly?

This free version assumes every bill is monthly. For a yearly or quarterly bill, you can tick only the months it's due and put a note. The Pro version handles yearly, quarterly and twice-a-year bills properly.

Does it work for subscriptions?

Yes. Put Netflix, Spotify, the gym and the rest in the Subscriptions category. The Summary tab shows what they cost each month and over a year.

Is this bill tracker free?

Yes. Download the .xlsx file and open it in Excel or Google Sheets. No sign-up.
