Free internship tracker for Google Sheets

Keep every internship you're looking at in one list: company, role, season, location, pay, deadline and where it stands. The tracker counts down to each deadline, tells you when to follow up, records which resume and documents you sent, keeps your career fair and alumni contacts with thank-you reminders, and lines up your offers so you can compare total pay.

What's inside

  • One row per internship: company, role, season, location, work style, pay per hour, deadline, status and notes
  • A countdown to every deadline, with Due soon and Deadline passed flags for roles you haven't applied to yet
  • A record of what you sent each place: which resume version, cover letter, transcript and who referred you
  • A follow-up date for every application still waiting, and a Next action that says what to do
  • A contacts list for career fairs, info sessions and alumni, with thank-you and check-in reminders
  • An Offers tab that works out total pay over the whole internship, plus housing and travel, with a reply-by countdown

How to use it

  1. Download your copy

Click "Free download" to save the .xlsx file. It opens in Excel, or in Google Sheets: open a blank sheet (sheets.new) and choose File, then Import, then Upload.

  2. Set your rules

On the Summary tab, type =TODAY() in the Today cell. Then set how many days to wait before following up, how early to warn you about deadlines, and how often to check in with contacts.

  3. List the internships you want

Add each posting on the Applications tab with its deadline and the status Researching. Do this early in recruiting season, when postings open, so nothing slips past.

  4. Apply and record what you sent

When you apply, change the status to Applied, add the date, and note the resume version and whether you sent a cover letter or transcript. Use these statuses: Researching, Applied, Assessment, Interview, Offer, Accepted, Rejected or Withdrawn.

  5. Add people as you meet them

Put recruiters, alumni and anyone from a career fair or info session on the Contacts tab. Tick Thank-you sent once you've emailed them and fill in Last contact so the check-in date works.

  6. Compare offers

When an offer comes in, add it to the Offers tab with the hourly pay, hours, weeks and any housing or travel money. Total value and Days left fill in, so you can see which offer pays more and when you need to answer.

Tips

Start in late summer

Many summer internships at larger companies open in August and September, a year ahead. Smaller employers and nonprofits often post in spring. Add roles as soon as you see them so the deadline countdown helps.

Name your resume versions

If you tailor your resume, save each version with a short name like v3 (data) and use that name in the Resume version column. Before an interview you'll know exactly what they read.

Send thank-you notes within a day

After a career fair or coffee chat, a short email the same day or the next helps people remember you. The Contacts tab shows anyone still waiting for one.

Ask before you accept

If an offer deadline comes before you hear from a company you prefer, it's normal to ask the first company politely for a few more days. Your career center can help with how to word it.

Questions

What should I track for internship applications?

At least the company, role, deadline, date applied and status. This tracker also keeps the season, location, work style, pay, which resume and documents you sent, any referral, and a follow-up date.

How does the deadline countdown work?

For anything still marked Researching, Days to deadline is the deadline minus the Today date on the Summary tab. Next action shows Due soon when the deadline is within your warning window (7 days in the sample) and Deadline passed after it.

How is the follow-up date worked out?

It adds your follow-up days (10 in the sample) to the date you applied, for anything marked Applied, Assessment or Interview. On that day Next action changes to Follow up now.

How do I compare internship offers?

On the Offers tab, Total pay is pay per hour times hours per week times weeks. Total value adds any housing stipend and travel or relocation money, so offers of different lengths line up fairly.

Can I track co-ops and spring or fall internships too?

Yes. Use the Season column for Summer 2027, Spring 2027, Fall co-op and so on, and sort or filter by it.

Is this internship tracker free?

Yes. Download the .xlsx file and open it in Excel or Google Sheets. There's no sign-up.

Pro version

Internship Tracker Pro

Every internship, deadline, document, interview and contact for recruiting season in one place, with a to-do list and a side-by-side offer comparison.

Never miss a deadline

Every posting counts down to its deadline and is flagged Due this week, Due soon or Missed. The Dashboard lists the next eight deadlines and what you still need to send for each.

Know what's ready to send

Mark the resume version, cover letter and transcript each application needs. A Ready flag shows which ones you can submit now and which are waiting on a document.

Know what to do today

Each internship gets a next action: apply now, prepare for an interview, send a thank-you, follow up or decide on an offer. The Dashboard puts them in order.

See which resume works

List your resume versions once on Materials. Each one shows how many places you sent it to, how many replied and how many gave you an interview.

Keep career fair contacts warm

Add recruiters, alumni and people from info sessions with where you met them. Thank-you and check-in reminders come up on their own, and you can see who referred you where.

Compare offers fairly

Put up to four offers side by side: hourly pay, hours, weeks, housing and travel money, and what rent would cost there. See what each one leaves after living costs, then a weighted score on what matters to you.
